This lesson provides a step-by-step guide to efficiently add and manage co-hosts on Airbnb, ensuring a smooth collaboration for property management.

Long Text Version:

Step One

First, go to your Airbnb hosting account and log in. Once logged in, click on the listing to which you wish to add a co-host.

Note: The co-host will only have access to the specific properties you have added them to.  They will only have access to those specified properties. They will not have access to properties you have not yet added them to. Airbnb allows a primary host to have up to ten co-hosts and allows a single co-host to be assigned to multiple properties.

Step Two

Once you have clicked on your listing, select the ‘co-host’ option either in the top menu links or by selecting the ‘add a co-host’ option.’ (Building Key Solutions will be happy to walk you through how to find this co-hosting option via video chat should you require assistance.  Upon clicking the ‘add a co-host’ option a pop-up will appear).

Step Three

Upon clicking the ‘add a co-host’ option a pop-up will appear. Simply type in the co-host’s phone number or email address. Note: This email or phone number does not need to be associated with the co-host’s Airbnb account, however, it is recommended that you contact your selected co-host to verify these details, as they may already have an Airbnb account set up. If they are new to co-hosting, they will be prompted to set up a new Airbnb account.

Step Four

Add the co-hosts’ information and click next. In the next section of this process, you will be asked to set the permissions for your selected co-host.

Calendar Access:

There are three permission levels, each grants the co-host specific access to the selected listing.

Option 1: “Calendar Access”

The ‘calendar access’ option allows a co-host to access only the calendar. This option restricts the co-host to viewing the calendar only and does not allow any calendar adjustments. It is the most limited option available.

Option 2: “Calendar and Inbox Access”

The ‘calendar and inbox access’ option allows the co-host access not only to view the calendar but also to interact with guests via the chat message feature. This is useful if you prefer to have your co-host message guest on your behalf.

Option 3: “Full Access”

This permits your co-host full access, meaning you have granted the co-host permission to view and edit the calendar, as opposed to simply viewing the calendar, in addition to directly messaging the guest and managing the listing and other co-hosts. This option is often selected when assigning a primary co-host or a property management company such as Building Key Solutions.

Why does Building Key Solution require this higher level of access?

It’s simple. Building Key Solutions offers fully integrated and comprehensive property management as part of its management packages, and therefore requires the ‘full access’ option to best manage your listings, calendars, and guests. Note: Airbnb’s ‘full access’ feature for co-hosts is still limited, as the co-host does not have admin privileges, and therefore cannot access admin features such as the card or bank account information connected to your hosting account. Nor can they make major changes to the listing as Airbnb has safety features built in to protect your hosting account and list.

(It is recommended that you contact your co-host to confirm the level of access they require before inviting them as a co-host, however, you may also change their level of access at any time via the co-hosting panel in the listing. If the permissions are not set correctly, your co-host may reach out to you to request that these permissions be increased depending on the agreement you have between you and the co-host).

Step Five

Once you have selected the desired option, click the ‘next’ button.  Upon clicking the ‘next’ button you will see the confirmation message appear.  Your selected co-host will have 14 days to accept the invite on their end, via email.  Simply close the prompt.  In the co-host panel of the hosting dashboard, you will see that the invitation has been sent and is pending.

Additional Information:

It is recommended that you reach out to the selected co-host to confirm that the invitation has been properly sent so that they can accept the invite at their end. Once the invite is successfully accepted, you will see the name and logo of the selected host have been updated, along with their access level. They have been successfully added and can begin working with you to manage this property.

It is important to note that they will only have access to the properties they have been assigned, so you may be required to assign them to each individual listing you wish for them to manage. If working with Building Key Solutions, their support team will walk you through step-by-step what is required of them and how they can best serve your needs.

This multi-step process is tailored to each of your properties, ensuring that you only receive the services you require and do not receive the services you don’t.
